CHILDREN’S SCHOLARSHIP FUND PHILADELPHIA OVERVIEW
Children’s Scholarship Fund Philadelphia (CSFP) is a privately funded organization whose mission is to provide students from under-resourced, Philadelphia families with financial access to quality, safe, K-8th grade tuition-based schools, thereby increasing the long-term economic and social success of their children. CSFP grants four-year, need-based partial scholarships via random lottery. With a nearly $13M operating budget, last year, CSFP raised and awarded $10 million from private donors (individuals, foundations, and companies). CSFP currently serves more than 5,100 children enrolled at over 150 private and parochial schools.
The Program Associate – Scholarship Administration, provides administrative support for all tasks related to scholarship administration and provides support as needed to the Senior Program Manager and Sr. VP of Scholarship & Program Operations. This position reports to the Sr. Manager of Programs.
ROLES AND RESPONSIBILITIES

Tasks include but are not limited to:
- Client Service – interact with CSFP families, scholarship applicants, and school officials in person, via phone and via email. This position is responsible for providing a high level of customer service. Answer questions and provide program information in a respectful, professional and clear manner with a customer service mindset.
- Work directly with the program team to complete tasks necessary to administer scholarship lottery and offer scholarship opportunities to families. Review, process and enter scholarship applicant data in a timely fashion and with care to ensure data accuracy
- Support parents with lottery and registration questions via phone and email and office walk-ins
- Regularly listen to voicemail messages and respond promptly
- Review emails sent from parents and respond in a timely manner
- Other lottery and registration responsibilities including but not limited to:
- Lottery application “clean-up” (i.e. removing duplicate and/or ineligible applications),
- Review and process family registrations in civicore
- Assign cohorts to new scholarship recipients,
- Reviewing faxes from families and upload to appropriate scholarship accounts
While no one candidate will possess every quality outlined for this position, a successful candidate will bring many of the following professional qualifications and personal attributes.
- Bachelor’s degree required,
- One to three-plus years of experience, preferably in a non-profit and/or customer service setting
- Experience working with diverse and under resourced populations highly preferred,
- Extremely organized with strong time management skills to accomplish goals and deadlines,
- Detail oriented
- Advanced skills utilizing Microsoft Office software and web-based tools.
- Ability to thrive in collaborative professional environment,
- Creative, self-motivated, proactive, and confident,
- Strong verbal and written communication skills.
- Fluent in Spanish – strongly preferred
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
Certain abilities to physically perform the duties and to work in the environmental conditions are required, such as:
- Must be able to travel—valid driver’s license and/or access to transportation when necessary required,
- Must be able to sit for extended periods of time at a computer,
- Must be able to maneuver in an office space, including reaching file cabinets, filing, faxing, scanning, copying, typing, mailing, and making phone calls,
- Must be able to assist with events, which includes lifting up to 35 pounds, bending, reaching, climbing, standing.
CSFP currently operates in a virtual environment due to Covid-19 restrictions however anticipates transitioning to a hybrid model of virtual and in-person.
This is a full-time exempt position, generally 9 a.m. to 5 p.m. and may include evening and weekend work. CSFP provides a competitive compensation and benefits package.
