Program Associate – Scholarship Administration & Community Engagement



Children’s Scholarship Fund Philadelphia (CSFP) is a privately funded organization whose mission is to provide students from under-resourced, Philadelphia families with financial access to quality, safe, K-8th grade tuition-based schools, thereby increasing the long-term economic and social success of their children. CSFP grants four-year, need-based partial scholarships via random lottery. With a nearly $13M operating budget, last year, CSFP raised and awarded $10 million from private donors (individuals, foundations, and companies). CSFP currently serves more than 5,100 children enrolled at over 150 private and parochial schools.


The Program Associate – Scholarship Administration & Community Engagement provides administrative support for all tasks related to scholarship administration and provides other support to the Assistant Director of Partnership & Events for organization wide events. This position reports to the Sr. Manager of Programs.

Tasks include but are not limited to:

Scholarship Program Administration

  • Client Service – interact with CSFP families, scholarship applicants, and school officials in person, via phone and via email. This position is responsible for providing a high level of customer service. Answer questions and provide program information in a respectful, professional and clear manner with a customer service mindset. 
  • Work directly with the program team to complete tasks necessary to administer scholarship lottery and offer scholarship opportunities to families. Review, process and enter scholarship applicant data in a timely fashion and with care to ensure data accuracy
  • Support parents with lottery and registration questions via phone and email and office walk-ins 


Volunteer and Event Coordination

  • Determining volunteer needs and working with Assistant Director of Partnerships & Events  to fill and schedule those needs
  • Assist  Assistant Director of Partnerships & Events  on coordination of organizational events, such as: 
    • communicating with venues and community partners on event details and needs; 
    • helping create volunteer assignments and with volunteer management; 
    • helping create event timelines and tasks lists;


Family Engagement and Community Resource Development

  • Taking the lead on managing family engagement events, such as CSFP Reads, cultural and “fun day” family excursions, summer programming aka CSFP’s Camp Connections program and expanding CSFP’s community outreach and resources for families.
  • Plan and execute enrichment activities for families and investigate additional opportunities for CSFP families with other community organizations.
  • Research and continually update community resources and additional funding opportunities for families.
  • Work with Program team to develop other ways to educate families on resources and community opportunities, whether through existing family, parent or school meetings or newly developed family learning opportunities.



While no one candidate will possess every quality outlined for this position, a successful candidate will bring many of the following professional qualifications and personal attributes.

  • Bachelor’s degree required,
  • One to three-plus years of experience, preferably in a non-profit and/or customer service setting
  • Experience working with diverse and under resourced populations highly preferred,
  • Extremely organized with strong time management skills to accomplish goals and deadlines,
  • A detail orientation with experience in event coordination,
  • Advanced skills utilizing Microsoft Office software and web-based tools,
  • Ability to thrive in collaborative professional environment,
  • Creative, self-motivated, proactive, and confident,
  • Strong verbal and written communication skills,
  • Fluent in Spanish– strongly preferred



  • Certain abilities to physically perform the duties and to work in the environmental conditions are required, such as:
  • Must be able to travel—valid driver’s license and/or access to transportation when necessary required,
  • Must be able to sit for extended periods of time at a computer,
  • Must be able to maneuver in an office space, including reaching file cabinets, filing, faxing, scanning, copying, typing, mailing, and making phone calls,
  • Must be able to assist with events, which includes lifting up to 35 pounds, bending, reaching, climbing, standing.


CSFP currently operates in a virtual environment due to Covid-19 restrictions however anticipates transitioning to a hybrid model of virtual and in-person. 



This is a full-time exempt position, generally 9 a.m. to 5 p.m. and may include evening and weekend work. CSFP provides a competitive compensation and benefits package.
